Best dunning management software, compared by category

There is no single best dunning management software for every company. The right choice depends on what you actually lose money on. This page compares the five kinds of tools a subscription business usually considers, by what each one does, so you can decide where a simple setup is enough and where it leaves revenue on the table.

Five kinds of tools that touch failed payments

  • Built-in billing retries. The retry settings inside your billing platform, such as Stripe Smart Retries or the dunning settings in Chargebee and Recurly.
  • Dunning-only tools. Products focused on failed payment emails, retries and cancel flows.
  • Analytics dashboards. Tools that chart MRR, churn and cohorts from your billing data.
  • Cart recovery apps. Store apps that email shoppers who left a checkout.
  • RevenueLeak. An audit of nine leak categories in dollars, with recovery for the payment part.

We compare categories, not brands. Products inside a category differ, and their feature lists change, so check the specific product you have in mind against the table below.

When built-in billing retries are enough

If your customer count is small, most payments succeed and you check failed invoices by hand each week, the retries already in your billing system may be all you need. They cost nothing extra, they run inside the platform and they handle many soft declines. What they usually miss is the reason behind each failure. An expired card gets retried like an insufficient funds decline, and no email asks for a new card until the subscription has already ended. RevenueLeak keeps those retries switched on and only adds what is missing, as described on the failed payment recovery page.

When a dunning-only tool is enough

If failed payments are your only real leak, a dedicated dunning tool does the job well. Good ones send clear email sequences, offer pause instead of cancel and show recovered revenue. The limit is scope. A dunning tool looks at invoices that failed. It does not look at invoices that never existed, such as a seat upgrade that was never billed, or at invoices that are too small, such as an account on a price from three years ago or a coupon that never ended. Those leaks do not fail, so no dunning tool sees them.

When an analytics dashboard or a cart app is enough

An analytics dashboard is the right tool when you need MRR and churn charts for reporting and nothing more. It shows that revenue moved, but it rarely lists the accounts to fix, and it does not act on failed payments. A cart recovery app is the right tool for a store whose main loss is checkouts left before payment. It does not touch subscription renewals that fail after the first order. If your numbers show one dominant leak, the specialized tool for that leak is a fair choice. The subscription analytics page shows how RevenueLeak covers the reporting part.

Where RevenueLeak fits

RevenueLeak starts with an audit. It reads your billing system read-only and prices every leak category in dollars per month, with a ranked list of accounts. Then it fixes the payment part automatically with retries by decline code, recovery emails, card update emails, a payment update page and cancel saves. Pricing and discount leaks are fixed by your team in your own billing system, using the list. The value of the audit is knowing which leak is the large one before you buy a tool for it. What the report contains is on the billing leakage page, and plans start at 49 USD per month, or 24 USD per month billed yearly, on the revenue optimization software page.

How to choose for your company

  • Run the estimate on the home page with your MRR, customer count and billing system.
  • Look at which categories carry most of the estimated leak.
  • If failed payments dominate and nothing else matters, compare dunning tools and built-in retries.
  • If several categories show up, an audit across all of them saves buying several tools.
  • Check that any tool you connect asks for read-only access first.

Questions about choosing dunning management software

Not always. Built-in retries handle many soft declines, but rarely ask for a new card in time.

Yes. Read-only audit works next to any tool, and you can leave its recovery rules off.

Feature lists change often, so we compare categories and let you check each product yourself.

Leaks that never fail, such as legacy prices, unbilled upgrades and coupons with no end date.

Yes. The estimate on the home page runs without an account, the audit is part of the paid plans.
